Administrative Group Minutes
October 18th 2007:
Minutes to be reviewed at next meeting:
Cleaning:
A. We have a roach problem in the building. Roaches are appearing in daylight hours. Looking for a good entomologist.
B. Concern about cleaning closet
C. Plants need more regular watering, not the drought and drown method
D. Lightbulb in the cleaning closet is just a naked bulb. Get a new fixture installed. Looking for kindly electrician to install.
E. Second-floor classroom needs its garbage can returned each day and a paper recycling box kept in the room as well.
F. Student kitchen is constantly gross.
Cleaning Commissioner Policy:
A. 9-week term proposed so that cleaning commissioner can get to know jobs and how people do at their jobs
B. Current cleaning commissioner term is three weeks, or one block long
C. System of consequences for people who don’t do their jobs
D. Positive motivational tactics
E. Student Administrative Group members will draft a policy that will address rules of cleaning and what happens when rules are not followed
F. What is the role of faculty in supervising room responsibilities?

Building Log
A. Roach issue will be duly noted. (Ben believes that they may be responsible for the computer routers not working, as they have adopted these as their new residence of late.)
B. Parking issue?
C. Electricity surges and power outages
D. Robert Ribbens may come in to address these issues
E. Fire alarms are in working order according to Nancy Rhodes.
F. Fire drill pending (using hand held horn)
Coffeehouse
A. New date for coffeehouse will be Friday, October 26tht
B. Location will hopefully be at Green Man Music Hall
C. Chaperones are yet to be revealed

Policies
A. Students discussed decision-making structure of policy.
1. Policy-making bodies and responsibilities
2. Administrative Group, Faculty, Personnel responsibilities not discussed.
3. Ben will bring student meeting minutes to administrative group
4. Administrative group will e-mail Administrative meeting minutes to members
B. Student Hours
1. We need to define what we accept or do not accept as work for student hours.
2. What constitutes student hours?
3. We should also be mindful of organizations who look for student volunteers. Are they a non-profit organization? We have a phone-screening protocol whereby all student hours requests will be filtered through Kumari.
4. We will have a form for student hours projects.
Administrative group membership is as follows:
1. All staff with administrative responsibilities (currently Kumari, Liz, Jacob and Vicki).
2. One parent member (shared between Mara Winningham & Trish Dougherty)
3. Three elected student members (Ben, Ita, Talia)
4. Faculty chairperson (Philothea)
5. Other student members may include cleaning commissioners, webmaster, hours commissioner, treasurer
Quorum/Rules of Order
A. Consensus-seeking group
B. A simple majority vote may be taken at the request of two members
C. Membership for this group is nine members
D. A quorum for this group will be five members
E. Members may appoint proxies if they cannot be present
F. Unapproved minutes will be circulated among the administrative group members
G. Approved administrative group minutes will also be sent to Eamon (webmaster) and Trish Dougherty (parent volunteer) and posted in the lounge.

1. Mara, Jacob and Philothea are responsible for bringing a foreign exchange student policy
2. Ben and Talia are working on school cleaning and cleaning commissioner policy

4. Kumari and Ben are working on service hours policy and form
5. Liz is working on general building behavior
6. Conflict resolution will be brought by Philothea at some future AG meeting if not next wee
